HRMS vs Excel: Six Signs You've Outgrown Your Spreadsheets

The six clear signals that your company has outgrown spreadsheet HR — and a checklist of what to look for in your first HRMS software in India.

Spreadsheets are a perfectly good way to run HR for a ten-person team. Somewhere between 20 and 50 people, they stop being good enough. These are the signs it's time for an HRMS — and what to look for when you choose one.

Six signs you've outgrown Excel

  1. Payroll takes days, not hours. You are copying attendance into one sheet, leave into another and salary changes from email before you can even start.
  2. Only one person understands the file. If they are on leave at month end, payroll is at risk.
  3. Leave balances are disputed. Employees keep their own count, and it never matches HR's.
  4. You have more than one location. Collecting attendance from branches or field staff by WhatsApp and email has become a job in itself.
  5. Compliance feels like guesswork. You are not certain every PF, ESI and PT deduction is right, or that you'd spot an employee crossing a threshold.
  6. Employees can't help themselves. Every payslip, balance or policy question lands on HR's desk.

What an HRMS changes

An HRMS keeps employee records, attendance, leave and payroll in one system, so data is entered once and used everywhere. Managers approve on their phones, employees see their own payslips and balances, and payroll is calculated from the data rather than rebuilt each month.

What to look for in your first HRMS

  • Indian payroll compliance — PF, ESI, PT by state and TDS, kept up to date. See our compliance checklist.
  • Attendance that fits how you work — GPS attendance for field and multi-site teams, or integration with biometric devices.
  • Mobile app for employees — leave, attendance, payslips and expense claims from their phones.
  • Clear per-employee pricing — no surprise implementation fees.
  • Help with migration — importing employees, balances and year-to-date payroll.
  • Room to grow — performance, learning and recruitment modules when you need them.

Making the switch

Start with the modules that hurt most — usually attendance, leave and payroll — and add others later. Run one month in parallel with your spreadsheets before you switch over. Our guide to automating payroll for a 50-person team walks through it step by step.
